A large machinery group operated five independent domains for different business divisions. Information gathering remained extremely inefficient. Inquiries scattered across five locations were routed to different public emails. They constantly encountered server downtime or manual checking omissions. The golden window for cross-border replies—often just a few hours—was entirely burned through. High-budget demands were abandoned due to slow confirmations, with buyers pivoting to faster-responding competitors.
Executive Review
We submitted a direct adjustment proposal: “After pouring money into ad channels, the core follow-up phase cannot be left to unpredictable frontend email clients. The cost of losing data due to a lack of a unified backend far exceeds the initial investment of building one.”
System Rebuild
We abolished the independent email checking protocols. We built an independent data extraction grid at the infrastructure level. Without altering the original site structures, an API layer now periodically aggregates data onto a single, unified dashboard. All voice messages and RFQs are queued by the exact second they occur, waiting for downstream allocation. This completely ended the phenomenon of hidden, unacknowledged lead leakage.
Data Comparison
🔴 Before: Each product line maintained its own frontend email collection tool. They could not prevent interception failures or checking negligence, handing critical leads to competitors.
🟢 After: Unified access to a dedicated main control dashboard. All incoming requests are captured internally for allocation, ensuring no potential conversions are missed.
